Assets

Assets are reusable content in Omni CMS that provide a single source of content for use on multiple pages. When the asset is edited and published, the content automatically updates on each page the asset was placed on. The different types of assets also allow for some more complicated types of content than you can create in the page editor. You cannot edit an asset on a page, but must open the original asset to make and save any changes.

Users levels 1 through 10 can edit assets, and by default, users levels 4 and above can create new assets, but this ability can be granted to others as well. Assets are found in Content > Assets; from here they can be edited and managed. Level 10 users can disallow access to Content > Assets in account settings.

Assets belong to the sites they are created in, and can be locked to that site so they can't be used anywhere else. If they aren't locked, assets can be used in all sites in your account. The only exceptions are forms assets, which are never shared across sites.

There are six types of assets currently available:

  • Web Content: Web content assets are used for entering HTML-formatted text or media items such as images and videos.
  • Plain Text: Plain text assets are used for entering text without any formatting, though they are still affected by page styling.
  • Source Code: Source code assets are used for entering source code or scripts such as JavaScript or PHP.
  • Image Gallery (LDP): Image gallery assets are used for entering multi-image slideshows.
  • Form (LDP): Form assets are used for entering forms, surveys, and polls. A database is required to store form submissions.

Use On Pages

Add assets to pages while you are editing the content, as follows:

  1. While editing an editable region, click Insert Asset A cycling arrows icon..
  2. In the "Select Asset" box, click an asset's name.
    1. You can filter assets by tag, type, or name.
    2. Form assets are site-specific and only appear if you're editing a page in the site they were created in. Other assets may be locked to site as well.
  3. Click Insert.
  4. When editing a page, the asset shows up as a placeholder.

  5. To see the asset content, click Preview

Insert assets directly into source code, as follows:

  1. While viewing a page, click Source in the page actions toolbar.
  2. Place your cursor where you want to insert the asset.
  3. Click Insert Asset A cycling arrows icon..
    • This inserts the asset tag into the source code, like inserting a link or image.

  4. Click Save.

Some page designs have editable regions that are asset-only. When you open an asset-only region, the "Select Asset" box opens.

Manage

Content > Assets shows a list of all assets in the account. Filter assets by name or tag, and sorted by name, tag, status, last modified date, and the site they were created in. Icons denote what type each asset is:

Click the More Actions More Actions menu menu for an asset to see the following options (depending on your access settings):

  • Edit: Asset*, Properties*, Access
  • Review: Preview, Save Version*, Versions*, Log
  • Publish: Publish, Schedule, Submit for Approval*
  • File: Rename, Copy, Delete

*Only available if the asset is checked out.

Renaming and copying assets are very simple actions. Unlike a file, an asset has no published URL and pages link to it using the asset tag, so renaming an asset does not affect any other files.

Copying an asset creates a duplicate of it. Edit the asset name so it is not the same as the original asset, and choose the target site (that it will be locked to should you choose so).

Delete

Deleting an asset removes it from every file it was added to. Identify these pages using the Broken Pages report. On individual pages, broken assets are identified with highlighting or a *** Broken *** message.

Asset deletion is a permanent action and deleted assets cannot be restored. Users levels 9 and 10 have the default ability to delete assets, and lower level users can be granted that permission.

Properties

Assets have general properties similar to page properties that set basic information about the asset. Open properties by either:

  • Navigate to Content > Assets.
  • Check out an asset.
  • Click the More Actions More Actions menu menu for an asset.
  • Click Edit > Properties.

or

  • While viewing a checked-out asset, click Properties > General Properties in the page actions toolbar.

The properties available for assets are:

  • Name: The user-friendly asset name.
  • Description: A short description of the asset's functionality.
  • Tags: Define new tags or use existing tags, which are used for filtering.
  • Lock to Site: By default, the asset is available to all sites within an account. To limit the asset to the site it was created in, select the checkbox for this option.
    • Form and gallery assets are always locked to site and cannot be unlocked.
    • If the asset has been placed on pages in other sites in the account and is then locked to site, it still appears on those pages and is updated when republished.
